The process

Four steps, and you only own the first one

Most groups spend under three hours of real work on a trip we spend months building.

Tell us about your group

A short conversation with the coach, teacher, administrator or parent organizing the trip. Goals, timing, group size, travel experience and budget.

We design your trip

We recommend destinations that actually fit, then build one or two tailored proposals with a day-by-day itinerary and per-person pricing. You give feedback; we refine until it's right.

Your group registers and prepares

We open registration and handle payments, documents and traveler questions directly, so you're not chasing forms. Fundraising and contribution support is available if you need it.

Travel and experience it

Group flights, transfers, hotels, guides, matches and activities are locked and staffed. You coach and enjoy the trip; we run the logistics.

Typical timeline

Nine to twelve months is comfortable

Shorter runways are often possible — talk to us and we will tell you honestly what is achievable rather than promising a trip we cannot deliver well.

12–9 months out

First conversation, destination shortlist, proposal and pricing agreed. Deposit secures planning.

9–6 months out

Registration opens for travelers. Fundraising launches if your group is using it. Fixtures confirmed.

6–3 months out

Itinerary locked, hotels and ground services contracted, documents collected, payment plan running.

6–3 weeks out

Group flight details issued, final rooming and dietary needs confirmed, pre-departure briefing.

On trip

Guides, transport and fixtures staffed. A responsive contact for the trip leader, day and night.

Pricing

All-inclusive, itemized, built to your budget

We quote one per-traveler price with everything spelled out. If something is not in the price, you will see it listed before you commit — no surprise or hidden expenses.

Typically included

  • Round-trip group air and all airport transfers
  • Accommodation, typically 3- and 4-star hotels or residences
  • Most meals, planned around match and training days
  • Games, training sessions and venue access
  • Professional match tickets where the calendar allows
  • Guided cultural activities and excursions
  • Local guides and on-the-ground support throughout

Typically not included

  • Travel insurance (strongly recommended)
  • Passport and visa fees where applicable
  • Personal spending, souvenirs and some free-time meals
  • Optional activities chosen individually on the ground

Cancellation fees, payment schedules and traveler responsibilities are set out in our terms and conditions.

Payments are handled directly with families or with your program, through our partner WeTravel. If your group needs help closing the gap, our in-house fundraising program is available at no cost to you.
